Cookie exchange and cookie swap sign up sheet
Make an online cookie swap sign up sheet, no account needed, and send one link to the group chat. Guests type a nickname and the cookie they'll bake, with no account and no slots for you to create first. A cookie that's already taken is blocked, and a close match gets a warning. The cookies-per-baker math is done for you, and the labels and the cookie list fill themselves from what guests entered.
- 1 Pick the date and how many cookies each guest brings.
- 2 Share the invite link. Guests claim a cookie with a nickname, no account.
- 3 Print labels and the cookie list for the table.
What guests see
Guests open your link and see the date, the number of cookies each baker brings and who bakes what. They type a nickname, the cookie and any allergens, and optionally a recipe link. If the name looks close to one already claimed, they get a warning and can confirm theirs is different. An exact repeat is refused. The count updates as people join. After the swap date, claims close. Then you print one label per cookie, or a single list for the table.
How it works
You enter the swap name, the date, the number of bakers and how much each one brings, and the form shows the result as you type. Creating the swap gives you two links: an invite link for guests and a private host link for you. Keep the host link, since it lets you remove claims and delete the swap.
Worked example: 8 bakers, 4 dozen each
Choose "a set total per baker" and enter 48. Each of the 8 bakers makes 48 cookies of one kind and the table holds 384. Every guest takes home 48 cookies in 8 kinds, which is 6 of each. Pick "a set number for each guest" instead and the same party works out with a half dozen per guest: 6 cookies times 8 guests is also 48 per baker.
Add 12 extra cookies per baker for tasting at the party and each baker makes 60, a table of 480. The take-home stays at 48, because the extras are eaten on the day. The table of cookies to bring by guest count has the numbers for other group sizes.
Other hosts set it differently. SignUp.com suggests a dozen for every other guest plus an extra dozen to share at the party, and keeping the list to 10 guests or fewer, since 20 dozen is a lot to ask of one person (SignUp.com guide). To follow that rule, choose "for each guest", enter 12, add 12 extra and untick "Bakers take home a share of their own cookies too".
What it does and what it does not
- It collects claims from a link, blocks repeats, works out the amount to bake and prints labels and a list.
- It does not send invitations or reminders. You paste the link into your own chat or email. The invitation wording page has texts to copy.
- It does not check allergens. Labels show what the baker ticked, and guests with a serious allergy should ask the baker.
- It does not collect recipes unless a baker adds a link, and it stores no email addresses.
Questions people ask
How many people can join?
You set the number of bakers from 2 to 40. If more people claim a cookie, the numbers go up for everyone, so tell late guests to check the amount first.
What if two people want to bake the same cookie?
The first claim stands and the second guest picks something else. This is first come, first served, so it needs no moderation from you.
How do I handle allergies?
Each claim has flags for tree nuts, peanuts, wheat/gluten, dairy, eggs, soy and sesame. SignUp.com advises asking about dietary restrictions with the RSVP, and marking anything with nuts. The hosting guide covers it in more detail.
Can guests vote for a favorite?
Yes, see voting and prizes. The rules page has wording for what to bring and how to pack it.
Does it cost anything, and how long is my data kept?
It is free, up to 60 cookies per swap. Everything is deleted 30 days after the swap date.
